Emails, documents, and files in Microsoft 365 are an important part of many companies’ day-to-day operations. But what happens if someone accidentally deletes important information, an account is compromised, or the business is hit by ransomware?
Microsoft 365 includes built-in features for restoring deleted files and previous versions of documents. However, these capabilities are limited and do not always eliminate the need for a separate backup solution.
With Microsoft 365 Backup, you get extra protection for your company's information and better options for restoring data if something were to happen.
When files are deleted in OneDrive or SharePoint, they are moved to the Recycle Bin and can be restored. Deleted files are typically stored for up to 93 days, spread across two levels of the Recycle Bin. After that, the files can no longer be restored from the Recycle Bin.
When an email is deleted, it is moved to the Deleted Items folder, where it can be restored by the user. If the email is permanently deleted, there is usually an additional 14-day recovery period, which can be extended to 30 days. After that, the ability to restore the email depends on the organization’s settings.
In Microsoft Teams, information is stored in various locations. Files in channels are saved in SharePoint, while chats and other information are managed through several Microsoft 365 services. Deleted teams can usually be restored within 30 days, and deleted channels within 21 days. After that, restoration options may be limited.
Microsoft 365 has built-in features for recovering deleted data, but they are not always sufficient. Companies may need to retain backups for longer periods, for example, to meet internal or regulatory requirements.
With our Microsoft 365 Backup service, you get automatic backups of your company’s emails, files, and documents in OneDrive, SharePoint, Teams, and Exchange. The desired retention period for the backups is configured when the service is set up, based on your business’s needs. The data can then be quickly restored if anything were to happen.
Backups are performed automatically three times a day, and we monitor the service to ensure it is functioning properly. This provides you with extra protection for your company’s data without requiring you to manage the backups yourself.
