Lost data can be very costly

In Microsoft 365, we use powerful tools like OneDrive, SharePoint, Exchange and Teams for high productivity and data collection. But what happens to your information if an accident occurs?

We know that lost data can be very costly. This can apply to both external factors such as viruses and ransomware but also accidentaluser mistakes. As a user of Microsoft 365, you have a built in "standard backup" to recover lost or deleted items within a time-limited period.

[ What is the standard built-in functionality for the different tools? ]

  • OneDrive/SharePoint

    Deleted items from OneDrive and SharePoint end up in the trash on the website and can be restored by you managing the account for 30 days by default.. After the 30 days, it is possible for an administrator from aadministrator from a second recycle bin, the website collection recycle bin to recreate the the files. Again, this is time-limited and overalld time for files in both bins is 93 days, after which it is not possible to recover any deleted files.

  • Mail

    A deleted email remains in the trash for 30 days and during this time you as a user can take back the email yourself. Should the trash be emptied during these 30 days or the 30 days have passed, only an administrator can recreate the mail within 14 days, it is also possible to change the setting to 30 days.

  • Teams

    The calendar and your messages in Teams are stored in Exchange Online, while channels and files are stored in SharePoint Online. If an entire group is deleted, it can be easily restored by the administrator for 30 days. Channels owned by you can be restored within 21 days.
