Challenge

The need for control, expertise, and a secure start with AI

Rybrinks recognized early on the value of developing its employees' AI skills in order to increase efficiency and strengthen its competitiveness. As employees began testing AI tools on their own, they realized the need for a common strategy and guidelines—both to create security and to use the technology in a business-oriented way.

"We needed to take control, raise our level of expertise, and create a common understanding of how we can use AI in a smart and safe way—in order to remain competitive," says Mikael Öqvist, Logistics and IT Manager at Rybrinks.

Solution

Copilot Coach – 7-week AI program

To make AI a real support in everyday life, Rybrinks chose to introduce Microsoft 365 Copilot with the help of Goodfellows – now Upheads. The work began with reviewing rights, information classification, and developing an internal AI policy. This was an important first step in creating security and clarity in how AI should be used.

"It feels safer now that we know how to work with AI and that we have a policy that everyone can rely on. This encourages more people to use it too," says Mikael.

To make AI a real support in everyday life, Upheads implemented Copilot Coach – seven weeks of training, workshops, and guidance in the various tools in Microsoft 365. The training was adapted to Rybrink's everyday life, in their own environment. The focus was not only on technology but above all on behaviors, working methods, and concrete effects in everyday life.

What began as curiosity quickly became a clear movement throughout the organization. AI ceased to be something theoretical or "for the future" – it became a practical tool in everyday life that everyone could use. It created a change in culture, not just competence.

"It has been a very good start to AI for us as individuals and as a company. It quickly became clear where we could work smarter. Being able to ask questions and test things in our own environment was absolutely crucial," Mikael continues.

After the training, they saw clear results:

  • AI expertise increased and discussions about AI spread throughout the organization.
  • Many time-consuming tasks were streamlined, and those who use Copilot daily save an average of over 30 minutes per day.
  • New working methods were established that improved the quality of daily work.

"We're not stopping here. This fall, we've already planned a follow-up with Goodfellows—now Upheads—for our employees, but we're also launching projects to develop AI solutions at the organizational level," concludes Mikael.
