Better care for young people thanks to useful and simple app

Samskapa in Skåne runs several LSS homes, HVB homes, support homes and also works with family treatment and outpatient care. A business deeply rooted in human care that at the same time has great demands on well-functioning IT solutions. WeSafe has developed an operational app, Skapa, together with quality managers in the organization.

Henrik Widén works with communication and business development within Samskapa and is the one who has practically planned and structured the new app together with WeSafe.

From Excel to a simple, business-oriented mobile app

Previously, all practitioners manually entered deviations on lines in Excel, and for a while a simple app was also used for deviation reporting. A deviation can be that a young person has broken something, has not taken their medicine or that a toilet has not been properly cleaned.

"Deviations occur at different levels and are linked to different parts of the business. We had a need to be able to register deviations in different categories, in order to ultimately develop the business and constantly improve."

Challenges that Samskapa wanted to solve with a new IT solution were partly the categorization of different deviations with the possibility of extracting relevant reports, and partly to ensure that certain deviations trigger different activities. For example, if someone does not want to take their medicine, a deviation should be made under the category medicine and if there are deficiencies in care, a Lex Sarah report is generated. General improvements and ideas should end up in a list that can then be discussed in a built-in comment forum.

Development through close cooperation and dialogue

Samskapa has previously used WeSafe for help, support and development of the Microsoft 365 environment, such as implementation of SharePoint and general IT support. Since this collaboration has worked well, it was natural to continue working together. Henrik contacted WeSafe and presented his wishes.

"I have been responsible for the design and we have had a good ongoing dialog. We have talked a lot about which functions are worth developing or if there are simpler ways to solve the problems. Sometimes I've been rather vague in my questions, but I've received very good answers and concrete solutions in return."

The solution for Samskapa was a simple and user-friendly app called Create. The app is built in PowerApps in Microsoft 365 and integrated with Sharespoint where all data is located.

Christoffer Thuneland, Microsoft 365 specialist at WeSafe explains:

"Henrik already had previous experience with PowerApps and a pretty good understanding of the possibilities. We have developed much of the final app in close collaboration.

Building in PowerApps is much easier than doing it in C#, which would have required a completely different setup and many more development hours. Much is already ready and we have been two people from WeSafe who worked closely with the customer during a three-month period from start-up to launch", says Christoffer at WeSafe.

Henrik on the final result:

"The simplicity and ease of use of the Create app was very important to us, but there's a fascinating amount in the background that makes it all work. There are a lot of quite complex flows of reports, structures and flows that are sent out automatically, which together help us to do a better job in our daily operations".

Further development of the app

The Create app was rolled out in the fall of 2020 to about 100 users, and after some adjustments based on feedback, the entire organization is now up and running and adopting new ways of working. WeSafe and Samskapa continue to further develop the app and a Planner flow has been set up to help prioritize the work.

"We have many new ideas to further develop the app. Skapa will be a clear quality development tool that benefits our entire operation and ensures the young person's journey, from enrollment to discharge. Through statistics from the app, we will be better able to follow up on how things are going and also see how the trends are going. All of us in the organization will "Co-create" even more, have a fruitful exchange between the teams and talk more about learning!"
